Provides high-level administrative support to senior Leadership alendar and Schedule Management Coordinate complex scheduling across multiple time zones, prioritizing meetings based on business objectives. Manage travel arrangements including flights, accommodations, ground transportation, and detailed itineraries. Prepare executives for meetings by gathering relevant materials, briefing documents, and background information.
Communication Management Screen and prioritize incoming communications, responding independently when appropriate or routing urgent matters to executives. Draft correspondence, presentations, and reports on behalf of executives. Maintain professional relationships with key stakeholders, clients, and business partners.
Meeting and Event Coordination Organize board meetings, client presentations, and corporate events including venue selection, catering, technology setup, and materials preparation. Take meeting minutes and distribute action items with follow-up tracking. Coordinate logistics for off-site meetings and conferences.
Administrative Excellence Manage expense reports, invoicing, and budget tracking. Maintain filing systems, both physical and digital, ensuring document security and easy retrieval. Handle confidential information with discretion and professionalism.
Project Support Assist with special projects including research, data compilation, and progress tracking. Coordinate cross-departmental initiatives and follow up on deliverables. Support executive decision-making by preparing analytical summaries and options assessments. by managing schedules, communications, and business operations. Acts as a trusted liaison between executives and internal/external stakeholders while maintaining confidentiality and exercising independent judgment on routine matters.
